Account closure and billing records
Account deletion removes private journal data and account access after unpaid checkouts are closed and subscription renewal is safely disabled at the paid period end. We retain minimal non-journal payment and deletion linkage to reconcile refunds, disputes and late billing notifications without recreating your account. Exact operational retention periods are under business review; contact hello@biztools.com.au for details. Payment providers retain records according to their own legal obligations.
Who is responsible for your data
Unwind Journal is a BizTools product, ABN 40 692 689 320, operated by Bullock Group Holdings PTY LTD, which acts as data controller for account, journal and profile information. Questions about privacy, your data or your rights can be sent to hello@biztools.com.au.
What we keep
Your sign-in email, the personal details you choose to add, and the daily reflection you save. While “Remember details I share in chats” is enabled, concise personal memories are also stored privately, even before saving a reflection. Feelings are dated. You can review, correct, forget or clear memories on About you. Remembering starts on by default unless you have already switched it off. You can turn it off at any time.
Session-only conversations
Unwind Journal does not save raw chat conversations in your journal or profile. Chats and generated recaps stay in your current session; only explicitly saved summaries and, while remembering is enabled, extracted personal memories are retained as app records. Messages are processed by the AI and hosting providers to deliver the service; their operational retention is separate from your journal storage.
AI replies
Your messages are sent to an AI service to write replies. Personal details are only included when you turn on "Use these details" on your profile. With remembering also enabled, new messages are analyzed to update your memory record, which is referenced before replies. When you request a weekly, monthly, or yearly recap, your saved summaries for that period are sent to the AI service, alongside enabled personal context and memories for tone and relevant suggestions, never as evidence of achievements. Recaps stay in your current session and do not change your journal pages.
Your control
For payments we also store your subscription status, credit balance, daily chat usage and purchase references. We do not store card details. Payment information is processed by Stripe, our payment provider. Your journal and remembered personal details are not sent to the payment service. Deleting your account cancels future subscription renewals before removing your app records; payment providers may retain transaction records required by law.
On your profile you can download everything we hold or permanently delete your account and journal, including remembered details. Turning remembering off stops learning and use; Clear memories also removes the record's contents. You're signed out automatically after 30 minutes away.
Data categories and purposes
- Account information such as email, account identifiers and sign-in details: to authenticate you and provide your private journal.
- Optional profile details, saved reflections and remembered facts or dated feelings: to provide journaling and personalized support. These may include sensitive health, relationship or trauma information that you choose to share.
- Subscription status, purchase references, credit balance and daily usage: to deliver your plan, prevent duplicate purchases and apply daily allowances.
- Technical information such as IP address, browser information, request metadata and security logs: to operate the service, diagnose faults and prevent fraud or unauthorized access.
- Support correspondence, if you contact us: to respond to requests and resolve issues.
Why we process information
Where these concepts apply under local law, our bases are performance of our service agreement for accounts and journaling; consent for optional sensitive information and personalization; legitimate interests for security and reliable operation; and legal obligations for required financial or compliance records. Personalization and remembering start enabled. You can switch either off in About you, correct or delete stored information, or choose not to share sensitive details. Turning a setting off stops its future use but does not automatically erase existing records.
Who receives information
Hosting, authentication and AI service providers process information needed to run Unwind Journal. Enabled personal context and memories may be sent to the AI service with your conversation. Stripe, our payment provider, receives purchase-related information for sales, subscription management, tax compliance and invoicing, but not your journal or personal memories. Providers may operate in countries outside Australia. Professional advisers or authorities may receive information where necessary for advice or required by law. We do not sell your private journal content.
See Stripe’s Privacy Policy for its independent processing of payment information.
Retention and deletion
Profile information, saved journal pages and stored memories remain while your account is active, until you edit, clear or delete them. Session-only chats and recaps are not stored as journal records. Account deletion removes your app records after cancelling future renewals. Provider backups, operational logs and payment records may have separate retention periods or legal requirements; we cannot promise that deletion instantly erases independent provider copies. Exact operational retention periods must be confirmed as part of the business review. Information should be deleted or anonymised when no longer necessary.
Your rights and complaints
You can access and export your saved app data, correct your profile and journal, review or forget memories and delete your account. You can also request access, correction, restriction or erasure, object to processing, withdraw applicable consent, and ask about international processing to the extent your local law provides those rights. To exercise a right or ask about your data, contact hello@biztools.com.au. Australian users may complain to the Office of the Australian Information Commissioner at oaic.gov.au. Users elsewhere may contact their local privacy regulator. Withdrawing optional personalization does not remove free access to your journal.
Security
We use encrypted connections, sign-in protection, owner-scoped access controls and server-side purchase verification. Private pages are not intended for shared caching, and the app signs you out after inactivity. These measures reduce risk but no online service can guarantee absolute security. Protect your account credentials and avoid sharing access to a signed-in device.
Cookies and local storage
Essential cookies and browser storage support sign-in and session management. The payment checkout may use its own security and payment cookies. Blocking essential storage can prevent sign-in or checkout. No optional advertising or analytics cookies are introduced by this notice; any future use will require a separate notice and consent controls where required.
